JIBC Laptop Setup and User Guide

Welcome!
This guide will help you set up your work laptop as a new JIBC employee. It explains what to do on your first day, including how to sign in, access the software and tools you need, and follow simple best practices to keep your device secure.


1. Getting started

  • Turn on your laptop and sign in using your JIBC email and password.
  • Keep your laptop plugged in for the first few hours so updates can finish without interruption.
  • You may notice software installing in the background.

*Your laptop is managed by Technology Services (TS) and is set up with standard security settings and approved software to keep it safe.


2. Key tools for your first day

You will use a few key tools on your work laptop on your first day. This section explains how to access each one and what it is used for.

  • Wi-Fi
  • Email and collaboration tools
  • Network drives
Tool What it's for What you need to know
Wi-Fi Connect your laptop to the Internet. Use Staff Wi-Fi (Name: JIBC-Staff) when you are working on campus.
Email & Collaboration Communication and daily work Use Outlook for email and calendar. Use Microsoft Teams for chat and meetings. Visit office.com to access other apps like Word, Excel, PowerPoint, and SharePoint.
Network Drives Stores and shares internal files Connect to GlobalProtect VPN when working off campus to access these drives. Contact the Service Desk if you experience any accessing issues.
Different types of network drives on your laptop:
  • OneDrive: Stores your personal work files and will back up every night.
  • W: Drive: Stores files of your department or academy.
  • T: Drive: Uses to temporarily share files between staff.
  • R: Drive: Uses for managing records. Contact your Admin Supervisor for details

3. Enterprise applications

JIBC provides a range of approved enterprise tools to support teaching, learning, and daily work. You can find the full list of available tools here or contact the Service Desk to learn more if you are a sessional employee.
Some applications are only available based on your role and may require additional approval before you can access them.


4. Device care and maintenance

  • Restart your laptop at least once a week to keep it running smoothly.
  • Leave your laptop powered on periodically so updates can install.
  • Report any unusual slowness or errors to the Service Desk as soon as possible.
  • Check organizational updates, such as TeamDynamix client portal or the weekly JustIn Times newsletter, for important information about maintenance and outages.

 

5. Keeping your information safe

Security best practices:

  • Never share your password or PIN with anyone.
  • Lock your screen when you step away from your laptop.
  • Only use approved software. Do not install unapproved programs.

Your responsibilities:

  • Follow JIBC IT policies and security practices. Review the Information and Educational Technology Acceptable Use Policy.
  • Use your laptop mainly for work-related purposes.
  • Protect JIBC data. Report any lost or stolen devices to the Service Desk right away.

Contact the Service Desk if:

  • You cannot sign in to your laptop.
  • You cannot access email, Teams, or network drives.
  • You need approved software installed.
  • You experience hardware issues or your laptop is running slowly.

 

7. First-week checklist

Use this checklist to set up your device on your first day:

 Sign in to your laptop successfully
 Access Outlook and Microsoft Teams
 Confirm access to your required network drives
 Restart your laptop at least once
 Know how to contact the Service Desk (see Section 6)
