Outgoing - Make a Call

Option 1 – use the dial pad to enter the number and click Call.

Option 2 – type name(s) or number(s) above dial pad and click Call.

Option 3 – from call History, hover mouse over incoming or outgoing call, click Call.

The Details pane will open on right side of window with information about the caller.
Click on Call icon.
Click X (top right corner) to close Details pane.


Incoming - Receive a Call

- Accept with video to answer call using video. Available only if call is from another Teams user.

- Accept with audio to answer the call using voice only.

- Decline call to decline the call (will send to voice mail).

Handling Multiple Calls

If you are already on a call, you can answer an incoming call.

The original call (both audio and video) will be placed on hold.
-
The participants of the original call will be notified the call is on hold.
-
On hold calls are displayed on the left-hand side of the window.

Click Resume to return to the call.
Add Someone to a Call


Placing a Call on Hold / Transfer a Call

Answer the call.
-
From the call window, click More (…).
-
To place a call on hold, click Hold.
-
To continue the call, click Resume.
-
To transfer a call, click on Transfer.

Type the name of the person to transfer the call to.

Optional… turn on Ring back if there's no answer to send the call back to you if no answer.

Select Transfer or click on the dropdown arrow to choose:
- Work → transfer the call to their Teams phone number.
- Work voicemail → transfer call directly to their voicemail.
- Any other number (e.g. their mobile) they added to their account.

To speak with a person before transferring a call, click Consult then transfer.

Type the name of the person to transfer the call to.

Once ready to transfer, click Transfer.
View / Search / Add a Contact

- To search for a contact:
- Enter the name in the Find a contact search box.

- To add a contact:
- Option 1 – click Add contact and type their name. If they are within your organization, select their name from the list and click Add. If not within your organization, ignore the no matches found warning and click Add . Enter their Full name, Company and Title. Click Add.
- Option 2 – from the call history list (Phone tab), hover mouse over incoming or outgoing call, click ellipsis (…) and then Add contact. If the caller is external from your organization, you will be promoted to enter their Full name, Company and Title. Click Add.

Assigning a Delegate
Delegates can make and receive Teams calls on your behalf. To set a delegate or see view a list of people who have added you as a delegate:

Go to Teams > Calls > Settings > General > Manage delegates.

The People you support tab shows a list of people who have added you as their delegate.
- To set a delegate for yourself, click Your delegates. In the Add a delegate box, key-in the name of person to assign. Once selected, pick the permissions to give them (make calls, receive calls, change call and delegate settings).

You can add more than one delegate. Once done, click Back to settings. Click X to close the Settings window.
